Who owns the data, who can see it, what happens when our support team needs to look, and where it all lives.

Data ownership

All data relating to a corporation entered or stored in Condo Inspection remains the exclusive property of that corporation. That covers inspection reports, documents, photos, technical records and maintenance history, and it holds even when a management company or third party pays for the subscription. Mon Condo Web Inc. acts solely as a technology and hosting provider and claims no ownership over it. If you change management companies, the record goes with the building.

Where your data lives: Canada

Condo Inspection is built and hosted in Canada. Your corporation's records, meaning inspection reports, photos, documents, asset registry and maintenance history, are stored and processed in Canada, and we don't replicate them across borders for convenience.

  • One jurisdiction, one answer

    There's no ambiguity about which country's law governs your records, and no list of regions your data might be in this quarter.

  • A recognized privacy framework

    PIPEDA and Quebec's Law 25 impose obligations on us as a service provider, and we're built to meet them rather than to work around them.

  • Your rights don't change

    The data belongs to your corporation either way. That's a contractual commitment, and it doesn't depend on geography. You can export it at any time, in standard formats.

Sub-processors and where they operate

Everything above concerns your corporation's records. A small number of supporting services operate outside Canada, and we'd rather list them than let you find out later.

Access control

Role-based permissions across managers, site administrators, operators, board members (read-only or read/write), committee members and suppliers. Data is isolated per corporation and per management company; a user cannot reach a corporation they haven't been given access to.

Auditability

Events are recorded in a history you can consult. When our support team needs to act as a user to resolve a problem, that session is logged with a stated reason and is reviewable. Support cannot look at your data invisibly.

Suppliers without accounts

External contractors receive a scoped, time-limited link showing only the job concerned. It expires, and it can be revoked.

Privacy

Data is handled in accordance with applicable Canadian privacy law, including PIPEDA and Quebec's Law 25. Our privacy policy sets out what we collect, why, and how to make an access or deletion request.
