Asset registry

A complete technical record of every component in the building

Roofs, elevators, pumps, HVAC, garage doors, fire panels, balconies. Each one gets a record that follows it from installation to replacement, and together they become the maintenance history your reserve study and your insurer keep asking for.

Identification
Name, description, category, zone, brand, model, serial number, reference number, exact location, installation date and installer, plus custom fields for whatever your firm tracks that nobody else does. Everything is classified with Uniformat codes (substructure, shell, interiors, services, equipment, sitework), the same structure your reserve study uses.
Lifecycle
Expected useful life, remaining useful life, last replaced or repaired, replacement date and replacement cost. Set a reminder to fire a defined period before the replacement date.
Maintenance schedule
Start date, frequency, duration, responsible person or team, category and description. Planned maintenance appears in the calendar and on the dashboard, and converts into an inspection or an intervention when the time comes.
Warranty, insurance and service contracts
Track contract start and end dates, cost, vendor, notes and the cancellation deadline, with reminders before both the renewal and the deadline to cancel. One contract can cover many assets across the property.
Costs
Budgets per asset and the invoices linked to it. Ask what an elevator has actually cost you over five years and you get a report back, not an afternoon of digging.
